US Biochar Initiative, a not-for-profit organization promoting the
sustainable production and use of biochar was looking for a solution
for the management of their annual BIOCHAR Conference, which will
allow them to collect online registrations, registration fees for
different registration types, abstracts, sell sponsorships and
workshops, offer accommodation and create a conference website.
Since this was an annual conference repeated every year and each
year a different partner was taking the responsibility of conference
organization, the integrity and continuity of the planning and
management efforts were very important. Besides, being able to use
past conference data including their conference website would be
very helpful.
After reviewing many event management software for an efficient but
affordable solution, USBI officials decided to use MeetingHand.
In 2018, USBI created its first BIOCHAR Conference in MeetingHand
environment easily. They created a brilliant website themselves for
free and announced their event first. In the website they shared
registration form links, sponsorship options, workshops, event
program and many other details. Then they collected online
registrations and payments easily. But they wanted to use
MeetingHand Payment System for sponsorships. So, the sponsorship
payments were collected through MeetingHand Payment System and
transferred to USBI. As a result, they held a successful conference.
The next year, in 2019, it was Colorado State University took the
responsibility of organizing BIOCHAR Conference but instead of
starting all over, they used MeetingHand database and cloned their
website easily but made the required changes only. Sending
invitations to the past conference attendees was also very easy by
using participant contact details in the system.
USBI has really enjoyed working with MeetingHand and solved many
issues. But the fancy part was planning and managing of those
conferences required only a few staff and they saved quite a lot of
time.
Hopefully, USBI will continue its events after the COVID-19 pandemic
and we will also continue serving their events.
